Get Involved: Public Events

Earthdance is a networking project with the aim of uniting a coalition of promoters from across the world that believe strongly in peace and the future of our planet. Each promoter creates an Earthdance event using their own funds, like they would any other normal event. There are no conditions on how big or small the event is. Promoters can create events with 50,000 people or with a few hundred. The spirit of Earthdance is participation on whatever level feels right.

To be considered an official Earthdance Public Event, you must register and be approved by the Earthdance International Coordinator. If you have any questions, please contact us at .

PROMOTERS RESOURCE AREA (top)
Following registration and approval from the Earthdance International Coordinator, your city will be added to the official list of participants and will receive a password for the Promoters Resource Area. This contains useful information such as logos, images, a promoter chat room (tribe.net), press releases, VJ Resources, a sample "How to" timeline, and Earthdance Overview Documents to help with press, marketing and local sponsorship.

We will help you promote your event by having your own web page on the official ED site with the basic event info. You create your own page by filling out a simple form - no webskills necessary!

The URL for your individual page will be:

This page will link to your site if you have one.  You will be able to log in and manage your own web page.

PROMOTER AGREEMENTS

  • To Select a Charity (local or international) and give them presence at your event to educate your guests
  • To Donate 50% or More of Your Profits to the chosen charity. Events making over $2000 USD profit Give 10% to Earthdance International
    (i.e. $2000 profit: keep $1000, Charity $800, ED $200)

  • To Communicate Regularly with the Earthdance International Coordinator
  • To use the Earthdance Logo and put the URL (www.earthdance.org) on your local event materials and website (if you have one)
  • To refer to your event by its location name in addition to Earthdance, for example: Earthdance London

PRAYER FOR PEACE GUIDELINES

The Prayer for Peace is a 4 minute track that promoters commit to playing simultaneously across the globe linking the entire Earthdance community in celebration of world harmony and peace. 

In 2008, the Prayer for Peace will be played on Saturday, September 13th, 4pm PDT (Pacific Daylight Time) (click here to calculate what time it will be your time zone).

We encourage you to download the Prayer for Peace MP3 well in advance of September 13th in order to avoid disruptions due to heavy traffic.

Every public event needs to have its own web page on the official Earthdance site with the basic event info.  This page can be linked to any other website for more details (if you already have a website).

CHARITY GUIDELINES

Selecting a Charity | Supporting Your Charity Financially

SELECTING A CHARITY: The main mission of Earthdance is to bring together diverse populations around the world for in a synchronized celebration of peace. Recognizing the power of "Think Globally, Act Locally," we require Earthdance promoters to select one or more local charities to promote and support at your event.

Part of the Registration Process is to name your charity. You invite this charity to your event and give them space to display information tables, collect petitions and give speeches at your event, etc...

We want to help you promote your charity. If they have a web address, will will add their site as a link from our international website. See the list of charities supported in the past.

In the past we suggested you choose a local charity that fits under the banner of one of the Earthdance causes:

  • The Welfare of Children
  • Urban Youth
  • Indigenous Peoples
  • International Relief and Development
  • Environmental Protection & Sustainability
  • Organizations that help Promote Peace

SUPPORTING YOUR CHARITY FINANCIALLY: Not all events make money - it is not a requirement. Some events are free to the public and get everything donated. But if your event does make money, we require that you make a 50% donation to your charity if you make a profit (after expenses). Although many promoters donate much more than 50%, we do suggest keeping some see money for the following year's event.

After you pay off all your expenses, if your event makes over $2000 USD in profit, we are asking you to support the main office by giving us 10% of your profit. For example. If you made $2000 profit, you would keep $1000, send $800 to your charity and $200 to Earthdance International.

Earthdance requests that donations be made to your selected charity within 6 weeks of the event.  

EARTHDANCE LOGO & WEB ADDRESS

We require that all Earthdance Promoters use the Earthdance Logo & Web Address (www.earthdance.org) on your materials. If you have a website of your own that you are using to promote the Earthdance event, we require that you put our logo and a link to the International site. The logo is available for download in our Promoters Resource section. Check out the beautiful flyers that have been created for Earthdance events worldwide.

THE POST-EVENT FORM

Part of your obligation as a promoter is to follow-through with a Post Event Report. Even if your event was cancelled at the last minute, we need to know about it. The Post Event Form needs to be filled out by Nov 1, 2008. This gives everyone plenty of time to recover and tally-up attendance and profits.

By filling out the Post-Event Form, we can get accurate statistics on attendance, and track charity support. This form is crucial to paint the global picture. Time allowing, pictures or stories from your event will be posted on our website before the end of the year. Promoters who fill out the forms and communicate responsibly will be our first consideration if and when we are able to financially support Earthdance events globally.
